To effectively manage user permissions and access levels within your workspace, you need to set user roles. This is essential when you want to control who can access specific features and data, ensuring that each team member has the appropriate level of access.
Before you start
- Ensure you have administrative access to the workspace.
- Familiarize yourself with the different roles and permissions available.
Steps to Set User Roles
- Log in to your account using your username and password.
- Navigate to the 'Settings' section from your dashboard.
- Select 'User Roles and Permissions' from the settings menu.
- Review the list of current users and their assigned roles.
- To change a user's role, click on the user’s name.
- Choose the desired role from the dropdown menu. Available roles typically include options like 'Admin', 'Editor', and 'Viewer'.
- Confirm the changes by clicking 'Save' or 'Update'.
- If you need to add a new user, click 'Add User', enter their email, and assign a role.
- Save the new user details to finalize their access.
Example
Here's an example of assigning a user the 'Editor' role:
plaintext
User: John Doe
Email: john.doe@example.com
Role: Editor
If something goes wrong
- Cannot find 'User Roles and Permissions': Ensure you have administrative rights. Only users with admin access can manage roles.
- Changes not saving: Check your internet connection and try again. If the problem persists, log out and back in to refresh your session.
- User not receiving access: Verify the email address is correct and that the user has accepted the invitation to join the workspace.
